As part of our Sales Administration Support Center, the Senior Order Management & Logistics Support Specialist, plays a key role in driving and coordinating the Support team in terms of daily operations, by ensuring efficient, accurate, and seamless operations.
This role serves as a support to the central coordination point between sales, customers, and internal functions, driving operational excellence and delivering a unique and superior customer experience.
The position is based at our Tetra Pak office in Bogota, Colombia.
Tetra Pak does not offer support for visa or relocation for this position.
What You Will Do
As an Senior Order Management & Logistics Support Specialis, you will contribute to delivering world-class service by managing critical spare parts sales operations:
- Provide guidance, coaching, and functional support to team members, ensuring effective knowledge transfer, capability development, and increasing team independence in performing daily operations and business processes.
- Support the Services Supply Network (SSN) teams in all operational support activities related to the Parts business.
- Serve as the main point of contact for internal stakeholders on complex business operations support activities.
- Ensure business processes, procedures, and work instructions are properly documented, maintained, and communicated, enabling Sales Support Administrators to perform their activities consistently and efficiently.
- Execute/Perform business operation support activities in ERP systems (SAP preferred)
- Ensure timely processing, closure, and maintenance of business transactions.
- Provide operational support to the Americas Service administration center.
- Track order fulfilment status and coordinate actions to resolve backorders and delivery constraints. Support operational efficiency through regular housekeeping and cleansing of ERP systems, master data, and transactional records.
- Collaborate closely with regional SSN teams to support operational processes and drive timely resolution of issues
- Coordinate and support reverse logistic operational activities with stakeholders to ensure timely outcomes.
- Maintain strong communication with stakeholders across time zones.
- Ensure compliance with global processes and drive continuous improvements
- Responsible for Purchase to Payment (PTP) Process
- Responsible for ensuring timely delivery of parts from Tetra Pak suppliers, including taking corrective actions to address delays and supply shortages.
- Inform and act on all deviations to secure an effective and timely PTP Process.
Profile Description
- A university degree in Business Administration, Logistics, Supply Chain, or related fields.
- Strong experience in Sales Administration / Order Management/ Supply Chain (preferably in a shared services environment)
- Proficiency in English, with the ability to read, write, and communicate effectively in a business environment.
- Strong experience with ERP systems (SAP preferred)
- Advanced knowledge of Microsoft Excel (Formulas, Pivot, Macros, etc) and reporting tools Power BI and others).
- Demonstrated ability to influence, engage, and work effectively with stakeholders and team members across a wide range of personalities and behavioral styles.
- Strong attention to detail, problem-solving mindset, and communication skills.
- Ability to manage high-volume of operational tasks in a fast-paced, general environment
- Strong problem-solving and continuous improvement mindset, customer-oriented skills, high motivation, teamwork spirit, analytical thinking, and fast learning ability.
