We are seeking a Project Manager to work across cross-functional teams including Account, Scientific, Creative, Editorial, and Finance teams to support day-to-day medical communications project execution. The PM will be responsible for driving timelines, managing deliverables, ensuring seamless execution and alignment with project objectives.
Key Responsibilities:
- Manage concurrent projects, ensuring alignment with client’s strategic goals and operational requirements by the agency.
- Partner with internal teams to develop schedules, timelines, and project plans using tools like WorkFront and Smartsheets, ensuring visibility and accountability across workstreams.
- Coordinate cross-functional delivery with all internal teams and agency partners to ensure timely development and deployment of core medical communications content, materials, and events, such as slide decks, advisory boards, congress booths and sponsorships, interactive materials, KOL videos, etc.
- Support annual planning and scoping, collaborating with senior agency leads to forecast budgets, resource needs, and capacity across teams on a monthly basis.
- Serve as subject-matter expert on client policies and procedures and related internal processes.
- Identify and escalate project risks and proactively communicate mitigation strategies to internal stakeholders to maintain project momentum.
- Facilitate cross-functional alignment by leading regular status meetings, documenting decisions and ensuring clear communication across all stakeholders.
- Champion continuous improve project workflows and implement process enhancements that drive efficiency and quality.
- Act as a strategic liaison between agency teams translating tactical execution into strategic impact.
This may be the right role for you if you have:
- Bachelor’s or master’s degree.
- 3 – 6 years of experience in project management.
- Strong understanding of project lifecycle, stakeholder coordination, and risk management.
- Experience in promotional medical communications (not continuing medical education)
- Familiarity with Smartsheet, Workfront, and Microsoft Office; Veeva a plus
- Excellent communication and organizational skills.
- Ability to manage multiple projects in a fast-paced, evolving environment.
- Experience with healthcare/pharma brands, scoping and budgeting is mandatory.
