The Role
You’ll be a critical partner in helping run the business which includes, but would not be limited to, coordinating Board Meetings, facilitating Leadership Team meetings, organizing cultural initiatives and supporting me on strategic projects. And you’ll do it with absolute discretion — because in this role, you’ll have visibility into just about everything.
Location: Colombia – Remote.
Environment: Colombian and International Teams.
Language: Advanced English (B2+ - C1).
Salary: $5.000.000 COP
Timezone: Monday to Friday – 8:00 AM to 5:00 PM MST.
Contract: Non-fixed Term Contract.
Requirements:
- Education: Bachelor’s degree in Business Administration, Executive Assistance, Communications, Project Management, or a related field is preferred.
- Experience: 2 – 5 years of experience. Proven experience as an Executive Assistant, Executive Business Partner, Operations Coordinator, or in a similar role supporting senior leadership. Experience coordinating Board or Leadership Team meetings, managing strategic projects, and facilitating company initiatives. Familiarity with EOS (Entrepreneurial Operating System) is required.
- Skills: Excellent written and verbal communication in English, advanced calendar and email management, strong project coordination and organizational skills, experience with AI tools, meeting facilitation, content research, and the ability to manage confidential information with discretion.
- Characteristics: Proactive, highly organized, detail-oriented, trustworthy, adaptable, resourceful, and committed to continuous learning. A strong sense of ownership, excellent judgment, and the ability to anticipate needs are essential.
Responsibilities:
Executive & Strategic Support
- Manage and optimize my calendar, email, and priorities so we stay focused on the highest-impact work.
- Support their social media presence and thought leadership efforts through content research, industry listening and early drafting using a customer GPT model.
- Provide outbound support to help book speaking engagements and respond to inquiries through our webpage.
Initiatives & Leadership Projects
- Serve as a primary liaison to our board members and shareholders by coordinating meetings, preparing materials, and ensuring timely, high-quality communications.
- Coordinate both in-person and digital corporate planning sessions.
- Drive special projects as needed.
- Act as our EOS Administrator — prepare agendas, summarize decisions and action items, communicate reminders and more.
- Be an avid user of AI tools and explore new applications to improve efficiency, decision-making, and team effectiveness.
Culture & Company Connection
- Plan and execute major company events, including but not necessarily limited to:
- Annual Kickoff
- Mid-Year Town Hall
- Quarterly State of the Company
- Annual [Digital] Holiday Party
- Two annual Connection Events
- Execute on client appreciation initiatives that digitally deliver learning and connection.
- Manage the monthly CEO newsletter process plus other company communications.
