Purpose The Human Resources Coordinator will provide primarily operational support in the management of Human Resources processes across the South America region, with a particular focus on Colombia and Chile. This position will support the day-to-day execution of employee relations, personnel administration, compliance, Occupational Health and Safety, employment documentation, offboarding, HR metrics, audits, and coordination with internal and external stakeholders. The role will have regional exposure, and its contribution will be focused on ensuring organized, timely, well-documented execution aligned with corporate policies, local legislation, and HR and OHS best practices.

Functions

- Provide operational support to employees and leaders regarding workplace concerns, internal policies, HR processes, and local labor requirements at the regional level.

- Support the implementation, update, and communication of HR policies, procedures, handbooks, forms, and guidelines, ensuring consistency with applicable legislation in the assigned markets.

- Provide operational follow-up to Occupational Health and Safety processes, including coordination of occupational medical exams, trainings, committees, records, reports, action plans, audits, required documentation, and interaction with external consultants or applicable administering entities.

- Maintain OHS-related documentation up to date and support compliance with applicable legal requirements and best practices, including the Occupational Health and Safety Management System in Colombia and preventive obligations, committees, and coordination with mutual insurance organizations or administering entities in each country of the region.

- Support the preparation, review, and update of employment contracts, addendums, annexes, employment letters, onboarding documents, separation documents, and other labor-related communications using approved templates and under guidance from the HR Manager or Legal, when applicable.

- Maintain personnel records,



employment documents, renewals, expiration dates, employee changes, time and attendance data, and other employee information, ensuring proper updates in the HRIS, internal systems, and corresponding files.

- Execute operational activities related to onboarding, internal movements, data changes, benefits, leaves of absence, medical leaves, vacations, payroll inputs, and other HR administrative processes in accordance with established calendars and controls.

- Facilitate a positive offboarding experience for departing employees by supporting access cancellation, equipment recovery, coordination of exit medical exams when applicable, preparation of separation documents, payroll follow-up, and orderly closure of the employment file.

- Coordinate vendor registration, follow-up documentation, and compliance for HR vendors, including purchase processes, purchase orders, invoicing, payments, and support with Accounts Payable.

- Prepare, consolidate, and maintain reports, metrics, databases, indicators, audit evidence, and internal HR and OHS controls, ensuring quality, timeliness, and traceability of information.

- Act as an operational liaison with leaders, employees, Legal, Total Rewards, Finance, vendors, external entities, and other regional teams to ensure timely execution of assigned processes.

- Support wellbeing initiatives, internal communications, engagement, workplace climate, events, and HR projects, prioritizing execution, logistics, follow-up, and documentation of activities.

- Perform other administrative or operational Human Resources duties assigned by the HR Manager.

Working Conditions And Physical Demands

Position works in a normal office environment. Standing, sitting, and walking required daily. Job minimal will involve travel.

Qualifications

- Bachelor’s degree in Human Resources, Business Administration, Psychology, Law, Industrial Engineering, Occupational Health and Safety, or related fields.

- 3+ years of experience in HR roles with a strong operational component, ideally in regional or multinational companies with coverage in South America.

- Proven experience supporting HR processes in Colombia and Chile; additional experience in other South American countries is a plus.

- Practical experience and knowledge of labor legislation, Occupational Health and Safety, employment documentation, personnel administration, and compensation in Colombia and Chile; additional experience in other South American countries is valued.

- Ability to execute processes independently, in an organized manner, with consistent follow-up and timely escalation of sensitive, legal, or strategic matters to the HR Manager.

- Proficiency in Microsoft Office tools;

experience with HRIS, time and attendance systems, purchasing platforms, or document management systems is preferred.

- Bilingual Spanish/English required. Portuguese is preferred but not required.

- Strong attention to detail, discretion in handling confidential information, sense of urgency, organization, service orientation, and ability to manage multiple priorities and countries.

- Excellent written and verbal communication skills, with the ability to interact professionally with employees, leaders, vendors, and corporate teams.
