We are looking for a detail-oriented and organized Vendor Management Specialist to maintain accurate, complete, and compliant vendor records across Veroot and CargoWise.
This role is highly focused on vendor documentation, Certificates of Insurance (COIs), tariffs, data validation, and follow-up.
The specialist will communicate directly with vendors to obtain missing or updated information, validate documentation, keep systems current, and ensure all required vendor records meet internal standards.
Key Responsibilities
Maintain accurate and up-to-date vendor records in Veroot and CargoWise.
Follow up with vendors to obtain updated Certificates of Insurance (COIs) and other required documentation.
Review received documentation and verify that information is complete and accurate.
Update COI expiration dates in CargoWise once documentation has been received and validated.
Upload and maintain valid COIs and supporting documentation in Veroot.
Identify expired or missing documentation and proactively follow up with vendors.
Request and follow up on updated tariffs and rate charts from vendors.
Maintain the tariff sheet with the most current vendor information.
Share updated tariff information with the Operations Manager at the end of each business day.
Enter new vendors into Veroot and ensure their profiles is properly completed.
Update expired documentation and manually enter any missing required information into the appropriate systems.
Verify that non-FTL agents have the required unlock code in the Forwarder/Agent tab and confirm the correct configuration.
Ensure vendor information is accurately reflected across systems.
Forward received documentation and relevant information to the appropriate internal teams, including Vendor Management and Operations.
Maintain organized records and ensure all updates are completed according to established procedures.
Requirements
Minimum 1 year of relevant experience in Vendor Management, Logistics, International Logistics,
Experience with CargoWise and/or Veroot
English level: B2–C1.
Documentation, Operations, or a related field.
Experience working with vendor documentation and document verification is highly preferred.
Strong attention to detail and data accuracy.
Excellent organizational and follow-up skills.
Ability to identify missing, expired, or incorrect documentation.
Strong written and verbal communication skills.
Ability to communicate professionally with vendors and internal teams.
Ability to manage multiple tasks and meet daily deadlines.
Proficiency in Microsoft Office applications.
