Role Overview

We are seeking a dependable and detail-oriented US Payroll and Billing Specialist to join Job Duck and play a key role in supporting payroll and accounting operations for multiple clients. In this position, you will help ensure accurate payroll processing, maintain compliance with payroll requirements, and support important financial activities that directly impact client success. You will work closely with clients and team members, providing professional communication and timely follow-up on payroll-related matters.

Schedule:

Monday to Friday 8:00 AM - 5:00 PM [CST][CDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

- Collaborating with internal team members to resolve payroll and accounting matters
- Researching payroll issues and identifying appropriate solutions
- Supporting payroll corrections, amendments, back filings, and related adjustments
- Tracking and maintaining employee PTO balances and policy administration




- Assisting with payroll tax withholding calculations, payments, and related compliance requirements
- Handling payroll notices and coordinating required follow-up actions
- Reviewing payroll information for accuracy and completeness prior to processing
- Processing and supporting U.S. payroll activities for multiple clients
- Ensuring compliance with payroll regulations across U.S. states
- Communicating directly with clients regarding payroll matters
- Preparing and supporting financial reporting
- Managing benefit deductions and payroll accounts
- Supporting multiple client accounts while maintaining quality and accuracy standards
- Escalating issues when necessary and proactively communicating potential risks or delays
- Maintaining accurate and up-to-date payroll records and client documentation
- Monitoring payroll deadlines and prioritizing time-sensitive deliverables
- Responding promptly to client inquiries and providing status updates as needed
- Communicating professionally with clients regarding payroll, tax, and accounting matters
- Assisting with financial reporting and accounting-related activities
- Managing and monitoring employee benefit deductions within payroll systems
- Supporting billing operations and documentation
- Processing payroll notices and back filings

What We’re Looking For:

- Previous U.S. payroll experience required
- Strong understanding of U.S.



payroll processes and regulations
- Knowledge of payroll tax withholding, tax payments, and related compliance requirements
- Experience managing PTO policies and employee leave tracking
- Experience managing employee benefit deductions and payroll reporting
- Understanding of state-specific payroll requirements and compliance considerations
- Experience working in an accounting firm, bookkeeping company, payroll provider, or professional services environment preferred
- Experience supporting multiple client accounts strongly preferred
- Strong written and verbal English communication skills
- Excellent organizational, prioritization, and time management skills
- Ability to work independently while maintaining a high level of accuracy and attention to detail
- Strong problem-solving and research skills related to payroll and accounting matters
- High level of professionalism, accountability, and discretion when handling confidential information
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
