We are an American company that is almost 20 years old and are looking for an experienced Automotive Sales & Procurement Coordinator to support our Sales Manager and help manage the day-to-day execution of vehicle sales and sourcing activities.

This is a fully remote position directly with a contract directly with the company and not through an agency. This is not a cold-calling or commission sales role. We are looking for someone who is highly organized, detail-oriented, proactive, and comfortable taking ownership of follow-ups and administrative workflows.

The right person should have previous automotive industry experience and be able to manage multiple vehicle requests, supplier communications, quotations, vehicle searches, documents, and internal follow-ups without needing constant direction.

What You Will Do

You will work closely with our Sales Manager and procurement team to help move vehicle opportunities and active deals forward.

Your responsibilities will include:

- Entering customer requests for quotation into our internal portal
- Searching for vehicles using automotive platforms such as Cars.com, CarGurus, Visor and other available sources
- Researching vehicle availability, specifications and pricing
- Reviewing vehicle listings to confirm model, trim, color, equipment and other requirements
- Contacting dealerships and suppliers by email and messaging to request pricing, availability and supporting information
- Following up with suppliers until outstanding items are resolved
- Preparing organized vehicle options and pricing for the Sales Manager to review
- Entering approved quotations and orders accurately into the company portal
- Updating portal notes, statuses, emails and supporting documents
- Reviewing active sales and procurement dashboards and identifying outstanding or overdue actions
- Tracking supplier commitments, expected dates and missing information
- Coordinating internal handoffs with Accounting, Logistics and Titles
- Maintaining basic Excel or Google Sheets trackers when required
- Ensuring that vehicle information,



VINs, pricing, currencies and documents are accurate before they are entered or shared

The role requires someone who can look at an open transaction, understand what is missing, and take the next appropriate action without waiting to be reminded.

What We Are Looking For

Required

- Previous experience in the automotive industry
- Experience in automotive sales support, vehicle procurement, dealership operations, fleet operations, purchasing, order coordination or a similar role
- Approximately 3+ years of relevant professional experience
- Excellent attention to detail
- Strong written and spoken English
- Comfortable communicating with suppliers and business customers through email and messaging
- Strong follow-up skills and the ability to push outstanding items to completion
- Able to work independently without waiting for step-by-step instructions
- Strong organizational skills and ability to manage multiple open requests simultaneously
- Comfortable learning and working extensively inside a custom company portal
- Basic to intermediate Excel / Google Sheets skills
- Reliable internet connection and suitable remote working environment
- Available to work 8:00 AM–4:00 PM CST

Preferred

- University degree
- Experience with vehicle sourcing or procurement
- Experience working with dealerships, dealer groups, vehicle exporters/importers, fleet companies or automotive marketplaces
- Experience sourcing vehicles online and comparing specifications and pricing
- Previous experience working with U.S. or Canadian automotive companies
- Stable employment history with demonstrated long-term responsibility

You should be comfortable identifying what needs to happen next, taking action within your authority, and escalating issues clearly when a decision is required. That ownership mindset is a central part of this role.

What Success Looks Like

Within the first few months, you should be able to:

- Independently enter and manage vehicle quotation requests
- Search for appropriate vehicles and provide organized options to the Sales Manager
- Contact and follow up with suppliers without repeated reminders
- Keep sales and procurement records accurate and current
- Identify missing information and outstanding actions before they become problems
- Manage routine sales coordination work with minimal supervision
- Help significantly reduce the administrative workload of the Sales Manager
