Construction Accounting Manager

Futura USA Inc. is seeking a highly organized and detail-oriented Construction Accounting Manager to oversee the day-to-day financial and accounting processes of our construction operations. This role will be responsible for ensuring accurate project billing, collections, payments, payroll coordination, job costing, and financial reporting across multiple active projects.

The idóneo candidate has experience in construction accounting and understands progress billing, retainage, change orders, subcontractor/vendor payments, project costs, and cash flow.

Responsibilities

- Prepare and send client invoices based on project billing schedules, milestones, and approved change orders
- Manage accounts receivable and actively follow up on outstanding payments
- Process and track vendor and subcontractor invoices
- Manage accounts payable and prepare payments for approval
- Coordinate and maintain payroll, contractor payments, reimbursements, and related records
- Maintain accurate job costing for labor, materials, subcontractors, equipment, freight, and other project expenses
- Track deposits, retainage, stored materials, progress billings, and change orders
- Reconcile bank accounts, credit cards, and financial transactions
- Maintain accurate project financial information in QuickBooks and company management software
- Ensure all transactions are properly categorized by project and cost code
- Maintain WIP schedules and monitor project profitability
- Prepare weekly cash flow, accounts receivable, accounts payable, and upcoming payment reports
- Assist management with monthly P&L;, balance sheet,



project profitability, and financial reporting
- Coordinate with project managers to ensure billing milestones are invoiced promptly
- Maintain organized financial documentation for projects, vendors, subcontractors, and clients
- Coordinate with the company’s CPA and outside accounting professionals as needed
- Help establish and maintain strong financial controls and accounting procedures

Qualifications

- 3+ years of accounting or finance experience, preferably within the construction industry
- Strong understanding of construction accounting, job costing, progress billing, retainage, A/R, and A/P
- Experience with QuickBooks Online or similar accounting software
- Experience processing or coordinating payroll
- Strong Excel or spreadsheet skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple projects, deadlines, and financial priorities simultaneously
- Strong written and verbal communication skills
- Comfortable communicating directly with clients regarding invoices and collections
- Experience with WIP reporting and construction financial reporting is highly preferred

- Commercial construction or subcontractor accounting

- Construction ERP or project management software

This position will serve as a key financial point of control for Futura, helping ensure that projects are billed properly, collections stay current, expenses are accurately captured, and management has clear visibility into the financial performance of the company.
