Role Overview

Job Duck is seeking a bilingual Billing Specialist to manage client accounts and help clients clearly understand their financial responsibilities throughout their legal matters. In this role, you will monitor expected payments, follow up on missed commitments, maintain accurate financial records, and work directly with clients to resolve account issues. You will combine empathy and respect with persistence, sound judgment, and the ability to maintain clear financial boundaries.

Your work will help prevent financial issues from escalating while supporting the stability and effectiveness of the organization. This opportunity is idóneo for an organized and detail-oriented professional who is comfortable discussing money, investigating discrepancies, and maintaining ownership of unresolved matters.

Schedule:

Monday to Friday 8:30 AM - 5:30 PM [PST][PDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

- Preparing trust disbursements under attorney direction
- Investigating payment discrepancies and recurring account issues rather than making assumptions
- Managing the client-facing financial relationship from engagement through final payment
- Conducting direct and professional conversations with clients who fall behind on their payments
- Identifying the circumstances preventing payment and discussing realistic options within established policies




- Establishing clear next steps while maintaining appropriate financial boundaries
- Preventing overdue accounts and payment commitments from remaining without a clear next action
- Tracking every expected payment until it is paid, formally rescheduled, escalated, or otherwise resolved
- Managing a portfolio of approximately 150 to 200 active client accounts
- Following up promptly on missed payments and broken payment promises
- Independently resolving routine billing and client account issues within established policies
- Contributing recommendations that improve billing processes and reduce friction for clients and internal team members
- Ensuring clients understand what they owe, when payments are due, what they have paid, and what remains outstanding
- Explaining invoices, payment schedules, and financial commitments to new clients
- Addressing financial questions and potential misunderstandings early in the client relationship
- Monitoring missed payments, broken commitments, overdue balances, and required next actions
- Maintaining accurate and current invoices, payments, account balances, payment plans, and client account records
- Ensuring every expected payment has an amount, due date or promise date, current status, and documented next action
- Supporting attorney trust account activity, including entering client trust balances
- Escalating exceptions, disputes, discrepancies, and unusual situations when necessary




- Identifying and flagging trust account discrepancies for the external bookkeeper
- Identifying patterns involving confusing invoices, lost payment promises, or inefficient processes

What We’re Looking For:

- At least two years of experience in accounts receivable, billing, collections, client accounts, or comparable work involving financial conversations with customers or clients
- Experience with invoices, payments, balances, payment plans, and client account records
- Comfort with proactive outbound phone follow-up regarding missed payments, broken commitments, and overdue balances
- Experience with a portfolio of approximately 150 to 200 active client accounts at a time
- Familiarity with Docketwise or a comparable legal practice management system is helpful but not required
- Experience with law firm billing or legal practice management software preferred
- Familiarity with attorney trust accounting and IOLTA activity preferred
- Experience with trust disbursements under supervision preferred
- Familiarity with trust fund handling rules considered a plus
- Reconciliation experience not required
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
