The Case Coordinator provides administrative and case support to Senior Case Managers by assisting with medical records, insurance documentation, treatment tracking, demand preparation, file organization, and client communication.

This position is responsible for helping ensure case files are accurate, organized, and up to date. The Case Coordinator will follow established processes to obtain and organize documentation, follow up with medical providers and insurance companies, track outstanding items, and identify potential gaps or missing information for review by the Senior Case Manager.

The Case Coordinator serves as a support resource to the Senior Case Manager and does not independently make legal, coverage, case strategy, or settlement decisions.

Duties and Responsibilities:

- Request and follow up on outstanding medical records and bills; compare dates of service to ensure records and billing documentation match; identify and flag potential gaps or missing documentation.
- Obtain declarations pages and maintain the Liability Confirmation sheet; assist with obtaining property damage information from insurance companies as needed.
- Follow up with medical providers regarding treatment status.




- Identify and flag potential gaps in treatment.
- Compile and organize billing records and supporting documentation for demand preparation.
- Rename and organize documents according to established file-management procedures; save documents to the appropriate case folders and identify or remove duplicate documentation.
- Answer client calls and provide general assistance when Senior Case Manager is unavailable, escalating case-specific questions or concerns to the Senior Case Manager.

* The Case Coordinator supports the Senior Case Manager but is not responsible for independent case assessment or decision-making. Responsibilities retained by the Senior Case Manager include:

- Determining what medical records, dates of service, and documentation are needed.
- Reviewing and discussing identified treatment or documentation gaps with clients.
- Reviewing insurance coverage and identifying potential liability, UM or other coverage issues.
- Discussing coverage issues and case strategy with attorneys.
- Communicating with clients regarding treatment gaps and coordinating referrals when appropriate.
- Conducting the final review of demand documentation and drafting the demand.
- Reviewing uploaded documents for completeness and determining what additional documentation is required.
- Making case-specific decisions, providing legal advice, or communicating legal strategy.

Skills:

- English: C1-C2 proficiency required, with strong written and verbal communication skills.




- Professional fluency in spoken and written English.
- Competency in computer software for document management and communication.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple tasks and follow established processes.
- Ability to identify discrepancies, missing information, and potential gaps in documentation.
- Strong computer skills and ability to work with electronic documents.
- Comfortable communicating professionally with clients, medical providers, and insurance representatives.
- Ability to maintain confidentiality when handling sensitive client and case information.
- Ability to work independently while maintaining regular communication with the Senior Case Manager.

Preferred Qualifications:

- High school diploma or equivalent required; additional education in business administration, legal administration, or a related field preferred.
- At least 1 year of experience in an administrative, legal support, medical records, insurance, or case management support role.
- Experience working with a U.S. personal injury, workers' compensation, insurance, medical records, or a law firm is strongly preferred.
- Experience working with case management or document management systems is a plus.
- Experience handling phone calls or working in a call center/customer service environment is a plus.

Work Environment:

- Fully remote position.
- Primarily computer-based work requiring prolonged periods of sitting and screen use.
- Regular communication through phone, email, chat, and other digital communication platforms.
- Position requires the ability to maintain a reliable remote-work environment and consistent internet connectivity.
- Working hours must be aligned with the firm's U.S. business hours.
