Operations CSR & Shipping Document Coordinator
Location: Remote – Latin America
Work Arrangement: Fully Remote

About the Company
Our client is a U.S.-based international distributor and trading company specializing in plastic resins, elastomers, and related materials .
The company manages sourcing, packaging, distribution, and international exports, with the majority of its products shipped to integral markets. Its operations require close coordination between customers, warehouses, carriers, freight forwarders, and commercial teams.
As the business continues to grow, the company is expanding its operations team with its first remote international hire .
About the Role
We are looking for a highly organized and detail-oriented Operations CSR & Shipping Document Coordinator to support customer orders and international shipments from order entry through delivery.
This role combines customer operations, international logistics, export documentation, and freight coordination . You'll manage orders, carrier bookings, shipping documentation, shipment tracking, and communication with customers and logistics partners.
Accuracy is especially important. The role involves detailed export documentation and Letters of Credit , where discrepancies can create significant shipping or payment issues.
You'll receive training and work closely with an experienced operations team in the U.S.
What You'll Do
Order & Shipping Operations
- Manage customer orders from receipt through final delivery.
- Create and maintain Sales Orders and Sales Contracts .
- Coordinate pickups and deliveries with customers, carriers, warehouses, and internal teams.
- Manage carrier bookings, cut-offs,
and vessel schedules with freight forwarders and ocean carriers/NVOCCs .
- Track vessel shipments and railcar movements.
- Monitor warehouse activity to prevent late ingates and container rolls.
- Maintain order summaries and provide shipment visibility to commercial teams.
- Proactively identify and resolve shipment delays or operational issues.
Export Documentation & Customer Support
- Prepare international shipping documentation, including Bills of Lading (BOL), Certificates of Analysis (COA), Commercial Invoices (CI), and Packing Lists (PL) .
- Prepare export declarations and documentation for ocean exports.
- Review and interpret Letters of Credit when required.
- Carefully verify documentation for accuracy and completeness.
- Communicate shipping information and documentation requirements to customers.
- Onboard new customers and maintain accurate records.
- Manage delivery-related claims through resolution.
Qualifications
Required
- 2–3 years of experience in international trade, logistics, shipping operations, supply chain, or a related field.
- Experience with international shipping and export documentation .
- Experience working with ocean carriers, freight forwarders, and/or NVOCCs .
- Understanding of BOLs, Commercial Invoices, Packing Lists, and related export documents.
- Microsoft Excel proficiency.
- Strong professional English communication skills.
- Exceptional attention to detail and document accuracy .
- Strong organization, problem-solving, and time-management skills.
- Ability to manage multiple shipments, deadlines, and priorities independently.
Preferred
- Experience in plastic resins, polymers, chemicals, or manufacturing .
- Experience interpreting Letters of Credit .
- Experience coordinating railcar and ocean shipments.
- Experience working with international customers.
- Bachelor's degree in Supply Chain, Logistics, Business, International Trade, or a related field .

The position will initially operate as a full-time contractor role for approximately 3–6 months , following U.S. holidays. The company intends to transition the successful hire into a full-time employee position afterward, subject to performance and company requirements.
The target start/training date is the third week of October 2026 .
