About the Role We're hiring a detail-oriented Deposition Scheduling Assistant to coordinate depositions between our attorneys, medical practice clients, and requesting parties. This is a fully remote, full-time role with availability required during U.S. Eastern Time business hours.
Key Responsibilities
- Manage end-to-end deposition scheduling across multiple medical practices, providers, and attorneys
- Communicate professionally with physicians, paralegals, and legal staff to coordinate dates
- Issue scheduling correspondence (requests, confirmations, reschedules, cancellations) and track all activity in real time
- Maintain master deposition calendars and accurate records via Excel and shared file systems
- Monitor and respond to shared Outlook inboxes; escalate urgent matters appropriately
- Prepare and edit documents in Word; support attorneys and legal assistants with administrative tasks
- Handle all PHI and case information in strict accordance with HIPAA and firm protocols
Required Qualifications
- Fluent English — written and verbal; resumes not in English will be rejected
- 1+ year in scheduling, coordination, or administrative support
- Proficient in Microsoft Outlook, Word, and Excel
- Proven ability to manage high email volume and concurrent scheduling requests
- Strong attention to detail and sound independent judgment
- Reliable high-speed internet and a quiet, professional remote workspace
Preferred Qualifications
- Experience with U.S. law firms, medical offices, or legal support teams
- Familiarity with deposition scheduling, litigation support, or legal/medical terminology
- Prior exposure to HIPAA-sensitive information
