Role Overview
Join Job Duck as an Executive Financial Assistant, where you will play a vital role in supporting executive leadership while helping drive the accuracy, efficiency, and success of key financial operations. In this position, you will combine high level administrative support with financial reporting, data analysis, and operational coordination in a fast paced legal environment. Your work will directly impact reporting accuracy, revenue performance, collections tracking, and organizational effectiveness by ensuring critical projects, financial data, and executive priorities remain organized and on schedule.

Schedule:
Monday to Friday from 8:30 AM - 5:30 PM [EST][EDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Utilizing approved AI platforms to improve administrative, financial, research, reporting, and operational workflows
- Providing comprehensive administrative support to the Finance Chair
- Managing calendars, meetings, appointments, correspondence, and follow-up items
- Preparing agendas, meeting materials, reports, presentations, and business documents
- Tracking assignments, deadlines, action items, and outstanding issues to ensure timely completion
- Attending weekly finance meetings and firm-wide meetings as required
- Assisting with special projects and operational initiatives
- Preparing meeting notes, action items, and follow-up communications
- Supporting the Finance Chair in achieving revenue and collection objectives
- Developing and maintaining financial reporting practices and procedures
- Organizing, formatting, and analyzing large volumes of financial and operational data
- Analyzing financial trends, revenue performance, collections, accounts receivable, work in progress, and related financial metrics
- Identifying outstanding items and following up with responsible team members
- Downloading data from operational systems into Excel and Google Sheets
- Reconciling cash postings against operating systems and investigating discrepancies
- Generating, formatting, and distributing timekeeper, billing, collections, production, accounts receivable, and financial reports
- Maintaining financial dashboards, trackers,
and reporting tools
- Identifying opportunities to improve efficiency, reporting accuracy, and business processes
What We’re Looking For:
- 2-3 years of experience in executive support, finance, billing, accounting, reporting, or administrative operations
- Ability to handle highly confidential financial, client, firm, and personnel information
- Strong proficiency in Microsoft Excel and Google Sheets
- Experience with large datasets and financial reporting
- Ability to prepare professional reports, presentations, meeting materials, and executive documentation
- Strong written and verbal communication skills
- Demonstrated ability to manage multiple priorities and meet deadlines
- Experience with AI-powered tools to improve efficiency and productivity
- Ability to work independently and collaborate effectively with cross-functional teams
- Strong problem-solving and research skills
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
