About The Role We are looking for a mid-level Commercial Property Leasing & Marketing Coordinator to support leasing activity across a commercial real estate portfolio. This role sits at the intersection of commercial leasing, tenant and prospect communication, sales, and property marketing . The adecuado candidate will be proactive, highly organized, comfortable managing multiple opportunities at once, and disciplined about maintaining a leasing pipeline.

The role reports to the Director of Property Management and works closely with property management and other team members to move vacancies toward signed leases and keep renewal opportunities on track.

The team is also exploring technology and automation to improve efficiency, so the ability to learn new systems and improve processes is more important than experience with any specific platform.

Key Responsibilities

- Manage the lease renewal pipeline and proactively communicate with tenants as leases approach expiration.
- Track upcoming renewals, move-outs, vacancies, and leasing opportunities.




- Respond to prospective tenant inquiries and maintain timely follow-up throughout the leasing process.
- Schedule property tours and coordinate with property management and other team members.
- Support the leasing process from initial prospect inquiry through application and lease execution.
- Coordinate tenant applications, collect required documentation, review applications for completeness, and track screening through the decision stage.
- Create and coordinate professional marketing materials for vacant and upcoming spaces, including brochures, flyers, listings, and digital content.
- Coordinate with property management and construction teams to ensure marketing and leasing timelines align with property availability.
- Conduct basic market rent research and comparable property analysis.
- Manage listings across relevant commercial real estate platforms and marketplaces.
- Support social media activity across LinkedIn, Facebook, Instagram, and other relevant channels.
- Maintain accurate leasing records, prospect activity, renewal notes, and follow-ups in Rent Manager.
- Prepare weekly reports on the leasing funnel, renewal pipeline, vacancies, and prospect activity.
- Identify opportunities to improve leasing and marketing workflows and reduce manual work through technology and automation.
- Support the implementation and use of new marketing, leasing, and property management tools.
- Generate lease documentation from templates once terms are agreed upon, coordinate execution through DocuSign, and maintain organized records of executed documents.




- Provide general leasing and marketing support to the Director of Property Management and leadership team as needed.

What We're Looking For
- Mid-level experience in commercial real estate leasing, property leasing, property marketing, or a closely related role.
- Experience communicating with tenants, prospects, brokers, or other real estate stakeholders.
- Strong sales, follow-up, and relationship management skills.
- Experience managing a leasing or sales pipeline and moving prospects through different stages.
- Experience creating or coordinating marketing materials for commercial properties.
- Excellent organizational skills and strong attention to detail.
- Strong CRM and pipeline management discipline.
- Ability to manage multiple properties, prospects, renewals, and deadlines simultaneously.
- Excellent written and spoken English.
- Proactive, reliable, and comfortable working independently in a remote environment.
- Comfortable learning new technology and adapting to new systems and workflows.
- Interest in using automation and technology to improve efficiency.

Nice to Have
- Experience with Rent Manager.
- Experience with CoStar, LoopNet, Crexi, Facebook Marketplace, or similar commercial real estate listing platforms.
- Experience with Canva or similar tools for creating marketing collateral.
- Experience with commercial property marketing and digital advertising.
- Experience with lease administration and document management.

Ideal Candidate The ideal candidate combines commercial leasing experience with strong organization, communication, sales, and follow-through . They should be comfortable taking ownership of a leasing pipeline, communicating directly with prospects and tenants, keeping records accurate, and ensuring opportunities do not fall through the cracks.

The ability to learn quickly, improve processes, and use technology effectively is highly valued.
