Position Overview The Maintenance Coordinator is responsible for managing the administrative workflow associated with resident maintenance requests, vendor dispatch, scheduling, communication, documentation, and work-order completion.

The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple maintenance requests while maintaining clear communication with residents, vendors, and property-management teams during the client's designated business hours.

Key Responsibilities

- Monitor incoming maintenance requests through resident portals, email, phone, text messages, and other designated communication channels.
- Create, categorize, prioritize, and maintain accurate work orders in the property-management system (PMS).

- Escalate issues requiring property-manager or property-owner review, authorization, or approval.
- Monitor aging work orders, recurring maintenance issues, preventive-maintenance schedules, and vendor performance.
- Upload invoices and supporting documentation, maintain organized vendor records, and ensure work-order files are complete and accurate.
- Maintain consistent follow-up practices to reduce delays, improve accountability, and support a positive resident experience.

Key Performance Indicators (KPIs) Performance will be evaluated using relevant operational metrics, including:

- Vendor follow-up completion: Consistency in obtaining updates, estimates, invoices, and completion confirmations.
- Preventive-maintenance completion: Timely coordination and documentation of scheduled preventive-maintenance activities.

Preferred Qualifications

- Strong customer-service and communication skills, with the ability to interact professionally with residents, vendors, and internal teams.

- Excellent organizational skills and attention to detail.
- Ability to manage multiple work orders simultaneously, prioritize competing requests, and maintain consistent follow-up.
- Strong written communication skills and the ability to document interactions clearly and accurately.
- Experience with property-management software, such as Buildium, AppFolio, Propertyware, Rent Manager, Yardi, or similar platforms.
- Ability to recognize urgent maintenance concerns and follow established escalation procedures.
- Proactive problem-solving skills, reliability, accountability, and the ability to work independently in a remote environment.
- Availability to work during the client's designated business hours, as required by the engagement.

Professional Expectations The Maintenance Coordinator is expected to maintain accurate records, communicate proactively, respect established client procedures, and follow through on assigned responsibilities. The role involves administrative coordination and operational support.
