Job Summary

We are looking for a detail-oriented Dispatch Coordinator to support transportation operations by processing dispatch orders, tracking shipments, communicating with carriers and drivers, and maintaining accurate load information in McLeod TMS. The adecuado candidate is proactive, organized, and able to respond quickly to operational issues while ensuring timely communication with customers and internal teams.

Key Responsibilities

- Create and process incoming dispatch orders in the system and ensure all information is accurate.
- Monitor shipment progress and update load statuses, including arrival and departure times and current locations, in McLeod TMS.
- Communicate with carriers and drivers to obtain shipment updates and confirm pickup and delivery schedules.
- Acknowledge partner notifications and document load information according to established Track & Dispatch SOPs.
- Immediately escalate accidents, damages, OS&D; (Overage, Shortage, and Damage), delays, demurrage, detention, and other operational issues to the supervisor.
- Prepare and maintain carrier and driver packet documentation to ensure records are complete and up to date.




- Verify customer credit information and available credit capacity in Ansonia before dispatching orders.
- Send Bills of Lading (BOLs) to the appropriate parties after orders are created.
- Keep load tracking dashboards updated to ensure accurate shipment visibility and follow-up.
- Provide customers with timely updates regarding shipment status when requested.
- Handle incoming calls and emails professionally, providing prompt and effective responses to operational inquiries.

Requirements

- 6–12 months of experience in logistics, dispatch, transportation coordination, or a related field.
- High school diploma or equivalent.
- Strong communication and customer service skills, particularly when interacting with carriers, drivers, and customers by phone and email.
- Good organizational skills and attention to detail when managing shipment information and documentation.
- Ability to monitor multiple loads, prioritize follow-ups, and respond quickly to operational issues.
- Professionalism, accountability, and the ability to follow established procedures and escalation protocols.
