Schedule Assigned coverage supporting Florida offices; exact shifts to be confirmed
Compensation Base pay to be confirmed, plus $7 for each attributable internet-sourced new patient who is actually seen, under the practice bonus plan
Role overview
Be the first point of contact for patients across our Oviedo, Winter Garden, Winter Haven and Port St. Lucie offices. Answer calls, turn inquiries into appointments and follow through so patients attend their visits. This role combines medical phone reception with appointment setting and organized follow-up.
Key responsibilities
- Answer inbound calls across all four offices, identify the correct location and reason for calling, and resolve scheduling requests or route the call to the appropriate team.
- Contact new online leads and return missed calls and voicemails promptly using approved calls, texts and messaging workflows.
- Schedule, confirm and reschedule consultations and new-patient appointments in accordance with provider calendars and location rules.
- Follow up consistently with unbooked leads, cancellations and new-patient no-shows; help patients overcome scheduling barriers and attend their visits.
- Collect and verify patient contact details, referral source and required intake information; send approved forms and appointment instructions.
- Maintain accurate call notes, lead stages,
appointment status and follow-up tasks in the practice systems; provide a complete handoff to office or clinical staff.
- Monitor messages and tasks passed back by automated or AI reception workflows, and ensure patients receive a human response when needed.
- Protect patient information, follow approved privacy procedures and escalate medical questions or urgent concerns to the clinical team.
Qualifications
- Experience in medical reception, appointment setting or a patient-facing healthcare contact center; strong phone presence in English and Spanish.
- Excellent attention to detail, reliable follow-through and the ability to manage several calendars and conversations without losing next steps.
- Comfort with EHR, CRM, phone and messaging platforms. Experience with DrChrono, Weave or GoHighLevel is preferred.
- Reliable internet, a quiet private workspace, a quality headset and availability for the assigned Florida office coverage.
Measures of success
Inbound call answer rate; response time to leads and missed calls; lead-to-booking conversion; new-patient attendance; recovered no-shows; and complete, accurate documentation. Specific targets will be set during onboarding. The $7 incentive applies to qualifying new internet patients who are seen, excluding established patients and no-shows.
