This role will oversee daily operations, optimize workflows, manage and hold the existing Operations Coordinators accountable, and coordinate high-volume instructor staffing initiatives three times per year.
You’ll play a key role in driving operational excellence, improving client success, analyzing performance metrics, and providing actionable insights to the CEO and CFO. The adecuado candidate is analytical, process-oriented, and an effective leader who can streamline operations, implement automation, and ensure the business is ready to scale.
Location: Must be in Colombia – Remote.
Environment: Colombian and International Teams.
Language: Advanced English (B2+ - C1).
Timezone: Monday to Friday – 8:00 AM to 5:00 PM CST
Contract: Non-fixed Term Colombian Contract.
Requirements:
- Education: Bachelor’s Degree in Business Administration, Operations Management, or a related field.
- Experience: 4–6 years of professional experience in operations management, workforce management, business operations, or a related field,
including at least 2 years of experience managing and owning operational processes.
- Skills: Advanced proficiency in Google Sheets and Excel, including VLOOKUPs, pivot tables, and data modeling. Proficiency in Airtable and Google Workspace. Demonstrated experience in process improvement, SOP development, workflow automation, data analysis, and operational reporting. Excellent written and spoken English, with the ability to manage complex client and learner escalations.
- Characteristics: Strong analytical mindset, highly organized, proactive, and detail-oriented. A process-driven problem solver with firm yet empathetic leadership skills, excellent communication abilities, and the capacity to manage multiple priorities under tight deadlines in a remote environment.
Required Competencies
- Analytical Mindset: Expert-level proficiency in Google Sheets/Excel (VLOOKUPs, Pivot Tables, data modeling). Must be comfortable "speaking numbers" with a CFO.
- Process & Systems Oriented: A natural builder who hates doing the same manual task twice without creating a template or automation for it.
- Firm & Empathetic Leadership: Proven experience managing small remote teams. Ability to hold coordinators accountable to strict deadlines without creating friction.
Empathy toward our instructors who carry it forward to their learners, working hard to improve communication on job sites.
- High-Context Communication: Excellent written and spoken English. Able to handle complex, nuanced student or client escalations smoothly via email or Zoom chat.
- Organizational Effectiveness: Able to handle multiple tasks under time constraints in an organized, consistent manner. This is especially important during program launch time periods.
Preferred Qualifications:
- Experience with ZoomShift or other workforce management software.
- Experience with LearnWorlds or another learning management system (LMS).
Responsibilities:
- Systemization & Playbooks: Take existing operational concepts from the CFO and CEO and document them into strict Standard Operating Procedures (SOPs).
- Process Improvement & Optimization: Evaluate existing workflows and identify opportunities to improve operational efficiency, leveraging automation workflows as necessary to streamline operations.
- Instructor Management: Manage the logistics of the 100% online session schedule, tracking instructor attendance, tech setups, and client contract fulfillment. (Instructors report to the CEO as Director of ‘Edu’ for instructional quality)
- Data & Analytics: Maintain and audit internal software stacks, sheets, and databases. Pull raw metrics and turn them into clean, analytical insights for executive review.
- Cross-Department Intersection: Collaborate directly with the CEO on brand/client health, the CFO on resource management, and the coordinators on daily frontline execution. Promote accountability, collaboration, and a culture of success.
