Role Overview

Join Job Duck as a Bilingual Intake Specialist and become a trusted first point of contact for individuals seeking legal assistance. In this role, you will guide prospective clients through the intake process, gather accurate information, coordinate consultations, and provide thoughtful follow up throughout their journey. You will also support reception, payment coordination, and client file management, helping the legal team stay organized and responsive.

Schedule:

Monday through Friday 8:00 AM - 5:00 PM [MST][MDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

- Protecting confidential client and case information.
- Identifying client concerns and using critical thinking to resolve routine issues.
- Ensuring prospective and existing clients receive timely, respectful,



and responsive service.
- Answering incoming calls and serving as a professional first point of contact for prospective and existing clients.
- Maintaining accurate information in PracticePanther, monday.com, Microsoft Outlook, and other internal systems.
- Maintaining consistent communication with prospective clients throughout the intake and consultation process.
- Escalating urgent, sensitive, or complex matters to the appropriate legal team member.
- Communicating consultation fees, payment requirements, and available payment arrangements.
- Conducting initial intake conversations and gathering relevant personal, legal, and case information.
- Receiving and coordinating client payments through LawPay.
- Assessing prospective client needs and coordinating consultations with the appropriate legal team members.
- Opening new client files and updating records as matters progress.
- Taking accurate and complete intake notes during discovery calls and client conversations.
- Following up with prospective clients by phone and text message.
- Providing compassionate and professional support to individuals facing criminal legal matters.
- Assisting with reception and general client service responsibilities.




- Documenting every call, message, follow-up attempt, payment discussion, and client interaction.

What We’re Looking For:

- Previous experience in legal intake, customer service, reception, or sales strongly preferred.
- Experience handling confidential information and communicating with clients in sensitive situations preferred.
- Familiarity with criminal defense or legal services preferred.
- Proficiency with PracticePanther, Microsoft Outlook, monday.com, LawPay, and VoIP phone systems preferred.
- Ability to quickly learn and adapt to new phone, case management, and internal systems.
- Strong verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Professional, compassionate, and client-focused approach when handling sensitive matters.
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
