Track and Trace Coordinator (After Hours)

Role Description The Track and Trace Coordinator (After Hours) is a full-time, on-site role based in Barranquilla, Colombia. Supporting high-volume freight brokerage operations for our U.S. partner, this role is responsible for real-time shipment monitoring, carrier communication, and proactive operational issue resolution during critical shift hours.

In this role, you will ensure total shipment visibility from pickup through final delivery, maintaining accurate TMS tracking data and managing active loads with a high sense of urgency. Working closely with operations leadership, Customer Sales, and Carrier Sales, you will identify potential service disruptions early, coordinate quick resolutions, and eliminate unexpected delays for our clients.

Key Responsibilities

- Shipment Tracking & Visibility: Monitor active shipments (FTL, reefer, drayage) from dispatch to final delivery, verifying driver status and updating ETAs, notes, and appointment details in the TMS.
- Carrier & Driver Communication: Maintain proactive contact with carriers and drivers via phone, email, and text to verify arrival/departure times at facilities and ensure transit timelines are met.
- Issue Escalation & Recovery: Identify service disruptions early (late trucks, breakdowns, missed appointments, temperature issues)



and escalate immediately to resolve issues and coordinate load recovery solutions when needed.
- Document Management: Obtain, verify, and upload critical shipping documents including BOLs, PODs, lumper receipts, and scale tickets to ensure loads are ready for billing.
- Operational Collaboration: Partner with Customer Sales and Carrier Sales teams to deliver proactive updates, ensuring internal teams and customers are never surprised by delays.
- Data Integrity: Keep clear, precise, and professional TMS notes so cross-shift operational teams understand shipment statuses at a glance.

Qualifications

- Language Proficiency: Advanced English (B2–C1, written and verbal).
- Experience: 1–2 years of experience in Track & Trace, freight brokerage, dispatch, or logistics operations.
- Reefer Experience: Hands-on experience monitoring refrigerated (reefer) freight.
- Volume Management: Ability to manage a high volume of active shipments simultaneously (approx. 10–15 loads per shift) with strong follow-through and urgency.
- Location & Shifts: Based in Barranquilla, Colombia, working fully on-site with shift availability for after-hours (11:00 PM – 7:00 AM) and afternoon/evening (3:00 PM – 11:00 PM).

Nice to Have:

- Hands-on experience with Transportation Management Systems (TMS) and digital load boards.
- Knowledge of load recovery protocols, Comcheck issuance, and facility appointment scheduling workflows.
- Strong conflict-resolution skills when communicating with drivers, carriers, and facility staff.
