About Pure Property Management

Pure Property Management is a boutique New York City property management firm specializing in the personalized management of individually owned condominium residences for owners and investors, many of whom live outside New York or internationally.

Our mission is simple: give our clients peace of mind by handling the details exceptionally well. That means proactive communication, strong tenant relationships, careful coordination with buildings and vendors, cost-conscious management of repairs and maintenance, and making sure issues are followed through until they are fully resolved.

The Role

We are looking for an exceptional Senior Property Management Operations Coordinator – Tenant & Vendor Relations to become one of the principal voices of Pure Property Management.

You will be the first point of contact for tenants, owners, building management companies and service providers by phone and email, and you will take ownership of issues from the moment they are reported through final resolution.

When a tenant reports a leak, an appliance stops working, a contractor needs building access, multiple vendors need to provide estimates, or several parties need to coordinate schedules, you will be the person who gets the right people moving, keeps everyone informed and makes sure nothing falls through the cracks.

You will also play an important role in helping us control costs for our owners by sourcing qualified service providers, obtaining and comparing competitive quotes, negotiating pricing where appropriate, and ensuring approved vendors are paid in a timely manner.

This is not a script-based call-center or basic virtual-assistant position. It requires judgment, initiative, organization, commercial awareness and the ability to manage multiple moving parts simultaneously.

You will work closely with our management team and our back-office team, which handles accounting, bookkeeping and payment processing.

Key Responsibilities

- Answer calls and emails from tenants, owners, building management companies and vendors promptly, professionally and courteously.
- Assess and triage maintenance and property-related issues, identifying what is urgent, what information is missing and what action should happen next.
- Take ownership of each issue from initial report through resolution rather than simply passing it to another person.
- Create and maintain accurate work orders, notes, communications and status updates in AppFolio, our property management software.
- Coordinate tenants, contractors, building management companies, superintendents, appliance vendors and owners, including scheduling access, obtaining required information, confirming appointments and following up when people do not respond.
- Source qualified contractors, vendors and service providers when needed.
- Obtain multiple competitive estimates for repairs,

maintenance and other property-related services whenever appropriate.
- Review and compare proposals based on price, scope of work, timing, reliability, quality and overall value.
- Negotiate pricing and service terms with vendors where appropriate, with the goal of obtaining strong value for our owners without compromising quality or responsiveness.
- Present clear recommendations to management or property owners when approval is required, summarizing the available options and explaining the reasoning behind the recommendation.
- Obtain and document owner approval for repairs and services when required.
- Confirm that vendors have provided any required documentation, such as Certificates of Insurance, before work is scheduled when applicable.
- Track approved vendor invoices and coordinate with the back-office/accounting team to ensure payments are processed accurately and on time.
- Keep tenants and owners informed with clear, concise and timely updates so they never have to wonder what is happening.
- Follow up proactively on outstanding items until they are completed.
- Escalate emergencies, sensitive tenant matters or situations requiring management judgment appropriately and promptly.
- Maintain clear and complete documentation so anyone on the team can immediately understand the history, current status and next action of an open issue.

What We Are Looking For

- Exceptional spoken and written English. This is a phone-intensive role interacting directly with American tenants, owners and businesses, and you must communicate naturally, confidently and be easily understood over the phone.
- Excellent telephone presence: warm, calm, articulate and professional, including when dealing with frustrated or demanding callers.
- At least 2 years of experience in customer-facing operations, customer service, property management, real estate, hospitality or another coordination-intensive environment.
- Experience working directly with U.S. customers or companies strongly preferred.
- Strong organizational skills and the ability to manage many open issues, deadlines and stakeholders simultaneously without losing track of details.
- A strong sense of ownership: when you accept responsibility for an issue, you follow it until it is resolved.
- Good judgment and problem-solving ability. You should be comfortable deciding what needs immediate attention, what can wait and when management needs to become involved.
- Strong commercial judgment: able to evaluate not only the lowest price, but also scope of work, urgency, vendor reliability, quality and overall value.
- Confidence communicating and negotiating with contractors and service providers.
- Clear, concise written communication suitable for tenants, property owners, vendors and professional building management companies.
- Comfortable learning and working with technology and cloud-based systems.

- Experience with AppFolio preferred; experience with Buildium, Yardi, Propertyware, Rent Manager or similar property-management software is also valuable.
- Comfortable with Word, Excel, Dropbox and modern AI/productivity tools.
- Experience with Quo/OpenPhone or another cloud-based phone system is a plus.
- Reliable home-office setup, including a quiet professional workspace, stable high-speed internet, good-quality headset and reliable backup connectivity.
- Fluent Spanish is helpful, particularly for vendor communication. Italian is a plus.

What Success Looks Like

You will be successful in this role when:

- Tenants feel that someone competent is taking care of their problem.
- Owners receive clear information without having to chase us for updates.
- Open issues always have a documented status, responsible party and next action.
- Vendors and building personnel know exactly what is expected of them.
- AppFolio accurately reflects what has happened and what still needs to happen.
- Problems are identified and escalated before they become bigger problems.
- Multiple quotes are obtained when appropriate and properly compared before recommendations are made.
- Owners consistently receive competitive pricing and clear recommendations based on both cost and quality.
- Vendors are paid correctly and on time after approved work is completed.
- Management can trust you to take ownership of day-to-day operational issues independently.

What We Offer

- Fully remote, full-time work on a consistent weekday schedule aligned with New York business hours.
- Competitive monthly compensation paid in U.S. dollars.
- Long-term opportunity with a boutique New York property management company.
- Exposure to high-end New York City residential properties and international property owners.
- A small, collaborative team where strong performers can take on increasing responsibility.
- An environment that values judgment, initiative, reliability, cost-consciousness and excellent service rather than call volume or scripted responses.

How to Apply

Please submit:

- Your CV or résumé in English.
- A 60–90 second voice recording in English containing:
- A brief introduction about yourself; and
- Your answer to this scenario: “A tenant calls you at 4:45 PM on Friday and says water is coming through the bathroom ceiling. Walk us through what you would do during the first 15 minutes after receiving the call.”

Apply here on LinkedIn with your CV, then email your voice recording (audio file or link) to [email protected] with the subject "Operations Coordinator – [Your Name] – [Country]". You can also apply by email only, attaching both your CV and the recording.

Shortlisted candidates will complete a live telephone interview that includes a simulated tenant call and a short property-management coordination exercise.

The practical exercise may include reviewing competing vendor quotes, explaining which option you would recommend and drafting a short update to the property owner.

We are looking for someone who naturally communicates well, takes ownership, enjoys solving problems, negotiates intelligently and gets satisfaction from making complicated situations run smoothly.
