We are hiring Intake Specialists for U.S. immigration law firms that help families and individuals with cases such as family-based petitions, adjustment of status, waivers, removal defense, asylum, VAWA, U visas and T visas.

ABOUT THE ROLE

As an Intake Specialist, you are the first point of contact for potential clients who call, message or fill out a form asking for help with their immigration case. You will listen with empathy, ask the right qualifying questions, document each case accurately in the CRM and book qualified leads into a paid case evaluation with the firm's consultation team or attorneys.

RESPONSIBILITIES

- Answer inbound calls, texts, emails and web leads from potential clients in English and Spanish
- Make outbound calls to new leads quickly and follow up with leads who did not book
- Ask qualifying questions to understand the caller's immigration history, current status and goals
- Identify the possible case type and flag red flags or concerns for the legal team
- Explain the consultation process clearly and handle common objections with empathy
- Schedule qualified leads for paid case evaluations and collect the consultation fee
- Document every interaction in the CRM (e.g., HubSpot, Clio Grow, Lawmatics, Salesforce) using the firm's notes template
- Update lead stages, log reason codes for non-qualified leads and avoid duplicate records




- Follow the firm's follow-up cadence for leads who do not book (calls, texts and emails)
- Meet weekly goals for booked and qualified appointments, data quality and script adherence
- Protect client confidentiality at all times

REQUIREMENTS

- 1+ year of experience in intake, appointment setting or client relations for a U.S. immigration law firm (required)
- Working knowledge of U.S. immigration processes and terms (USCIS, green card, DACA, TPS, asylum, waivers, removal proceedings)
- Advanced English (B2+/C1) and native or fluent Spanish
- Excellent phone skills: clear, warm, confident and professional
- Strong listening skills and the ability to show empathy with clients in stressful situations
- Organized and detail-oriented, with accurate and fast typing and note-taking
- Comfortable working with CRMs and meeting daily and weekly goals
- Reliable internet and a quiet workspace (for hybrid or remote positions)

PREFERRED

- Additional experience in call center, customer service or sales roles
- Experience with HubSpot, Clio, Lawmatics, Filevine, Salesforce or RingCentral
- Studies in law, political science, international relations or related fields
