Virtual Sales Assistant Position
Swamp Rabbit Moving is hiring a detail-driven, process-oriented Virtual Assistant - Sales Operations to support our sales team and customer experience.
This is not a closing sales role. This position supports the sales pipeline, manages administrative tasks, conducts discovery calls, performs follow-ups, and drives realtor engagement through SMS outreach.

What You’ll Be Responsible For
Administrative Sales Support
- Schedule booked moves in SmartMoving (CRM)
- Audit estimates and sales pipelines for accuracy
- Audit lost and bad leads
- Update availability spreadsheets and sales dashboards
- Dispute invalid PPC leads
- Process claims (escalate claims over $1,000)
- Maintain clean, organized sales data
Customer Support (Phone + SMS)
- Answer overflow inbound calls (discovery only - no closing)
- Gather move details and schedule callbacks or on-site estimates
- Confirm on-site appointments
- Conduct 7-day prep calls (review inventory, policy reminders, packing status)
- Confirmation calls within 48 hours of job
- Mid-move customer check-in calls (10am-1pm window)
- Post-move follow-up calls (1-2 days after move)
- Offer valuation protection and packing services (upsell support)
- Saturday shift phone coverage required
Realtor & Outreach Support (SMS-Based)
- Identify realtors from 5-star reviews
- Send personalized SMS outreach introducing our Realtor Referral Program
- Congratulate agents on listings going under contract
- Book on-site estimates from SMS outreach
- Engage with realtors on social media (tag, comment, thank)
What We’re Looking For
- Strong phone presence and professional communication skills
- Extremely detail oriented and process driven
- Comfortable working in CRM systems (SmartMoving experience is a plus)
- Confident handling multiple tasks and conversations at once
- Self-managed and accountable (this is a virtual role)
- Sales support, call center, or operations experience preferred
- Must be available for scheduled Saturday coverage
