Executive Operations Assistant to CEO
Remote | Full-Time | U.S. Eastern Time | $2,000–$3,000/month depending on experience
We are hiring an exceptional Executive Operations Assistant to work directly with the CEO of a fast-growing group of U.S.-based service companies in the glazing, window repair, construction, and home-services industries.
This is not a passive virtual-assistant role.
You will be the CEO’s operational right hand: turning fast-moving priorities into clear execution, following up with managers until commitments are completed, organizing critical business information, and making sure nothing important gets lost between conversations, calls, Slack messages, email, CRM, and project-management tools.
You must be highly organized, fast, calm under pressure, excellent in English, and comfortable working in an environment where priorities can change quickly.
We are willing to pay $2,000–$3,000/month for a proven high-performing candidate who can create leverage, protect the CEO’s time, and drive execution without needing constant supervision.
What success looks likeWithin your first 90 days, you will help create a business where:
- Every CEO commitment, key task, and decision is captured, assigned, and tracked to completion.
- Managers have clear owners, deadlines, next steps, and accountability.
- The CEO starts each day with a concise executive brief: top priorities, overdue items, critical risks, decisions needed, and important meetings.
- Follow-ups with sales, operations, vendors, clients, and internal team members happen consistently—without the CEO chasing people.
- Important client leads, estimates, invoices, operational issues, and team requests do not disappear in messages or spreadsheets.
- Repeated work is documented into SOPs, templates, checklists, and simple automations.
- The CEO spends less time acting as a dispatcher and more time on sales, strategic decisions, partnerships, and growth.
Your responsibilitiesExecutive execution and accountability
- Convert CEO calls, voice notes, meetings, emails, and messages into clear tasks with an owner, deadline, priority, and next action.
- Maintain a single, reliable execution tracker in Monday.com and related tools.
- Follow up professionally and persistently with team members until commitments are completed.
- Identify overdue tasks, missing ownership, stalled projects, and risks before they become emergencies.
- Escalate only the issues that truly require CEO attention—and always bring a recommended next step.
Daily CEO support
- Prepare a concise daily CEO briefing before the start of the workday.
- Manage executive calendar priorities, meeting preparation, reminders, and follow-up.
- Organize key emails, messages, documents, and decisions.
- Protect CEO focus by reducing unnecessary back-and-forth and making information easy to act on.
- Maintain a running “waiting on” list and ensure open loops are closed.
Operations and systems
- Coordinate across sales, estimating, operations, customer service, purchasing, vendors, and field teams.
- Monitor critical workflows such as new leads, estimates, client follow-up,
project status, invoices, collections, purchasing, and hiring.
- Build and maintain SOPs, checklists, templates, dashboards, and reporting systems.
- Improve workflows using Google Workspace, Monday.com, spreadsheets, CRM tools, calendars, Slack, and AI tools.
- Research vendors, tools, candidates, and solutions; summarize findings with a clear recommendation.
Communication
- Draft clear, professional messages, emails, meeting agendas, task briefs, and follow-ups in English.
- Communicate with U.S.-based clients, vendors, and internal team members when needed.
- Keep communication concise, respectful, proactive, and action-oriented.
- Handle confidential business, employee, customer, and financial information with discretion.
Required qualificationsYou should apply only if you can honestly say “yes” to most of the following:
- You have at least 3 years of experience as an Executive Assistant, Operations Assistant, Project Coordinator, Chief of Staff Assistant, Operations Coordinator, or similar role supporting a founder, CEO, or senior executive.
- You have supported a fast-moving business with multiple departments, teams, clients, projects, or locations.
- You are available full-time during U.S. Eastern Time business hours.
- Your written and spoken English is excellent and professional.
- You are highly proficient with Google Workspace: Gmail, Calendar, Docs, Sheets, Drive, and Meet.
- You have strong experience with Monday.com, Asana, ClickUp, Notion, Trello, or a comparable project-management platform.
- You can build a clean task tracker, dashboard, SOP, meeting agenda, follow-up system, and executive summary without being told every step.
- You understand CRM hygiene, lead follow-up, pipeline visibility, customer communication, and operational reporting.
- You are comfortable with spreadsheets and can use formulas, filters, views, trackers, and basic reporting.
- You use AI tools intelligently to improve speed, documentation, research, and communication quality.
- You are proactive: when you see a problem, you investigate, propose options, and move it forward.
- You are comfortable holding people accountable respectfully, even when they are busy or slow to respond.
- You can handle changing priorities without becoming disorganized or defensive.
Strongly preferred
- Experience supporting a CEO in construction, home services, field services, real estate, sales, operations, logistics, or a multi-location business.
- Experience with Jobber, Housecall Pro, HubSpot, GoHighLevel, ServiceTitan, QuickBooks, or similar CRM/field-service systems.
- English fluency or professional proficiency.
- Experience working with teams in the United States.
- Experience creating SOPs and implementing operational systems from a messy starting point.
- Experience coordinating sales estimates, vendors, purchasing, scheduling, invoicing, or collections.

Compensation and growth
- Full-time remote position.
- Compensation: $2,000–$3,000 USD per month, based on demonstrated experience, communication level, operational judgment, and performance in the paid practical assessment.
- Performance review after the first 90 days.
- Clear opportunity to grow into a senior Executive Operations Manager or Chief of Staff–type role as the company expands.
- Direct exposure to CEO-level decisions across several operating businesses.
