Role Overview
We are seeking a highly organized, detail-oriented professional to support a dynamic practice that manages client care, finances, and legal matters. This role is idóneo for someone who thrives in a fast-paced administrative environment and is comfortable operating at a high level of professionalism in both legal and financial contexts. You will play a critical role in managing communications, coordinating complex schedules, and supporting trust administration and financial processes.
Schedule:
Monday to Friday from 8:30 AM to 5:30 PM PST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Assisting with trust and estate administration tasks, including document tracking and electronic filing
- Providing administrative support for financial and legal workflows tied to client services
- Ensuring accuracy and organization across all administrative and client documentation
- Preparing, collecting, and completing forms related to banking and financial accounts
- Managing and prioritizing a high-volume,
complex email inbox and ensuring timely responses and proper routing
- Handling professional, high-level inbound and outbound phone calls with clients and partners
- Supporting legal timekeeping and billing processes (similar to law firm environments)
What We’re Looking For:
- Background in legal, trust & estate, or financial planning environments strongly preferred
- Understanding of:
- Trusts vs. Power of Attorney
- IRA vs. investment accounts
- Experience with legal timekeeping or billable work structures
- Strong administrative background with proven ability to manage high-volume workflows
- Excellent written and verbal communication skills
- High attention to detail and ability to handle sensitive information confidentially
- Comfortable learning complex systems and processes
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
