About the RoleWe are looking for a proactive, dependable, and highly organized Executive Assistant to provide direct support to a busy executive managing multiple projects, events, partnerships, and daily business activities.
This role goes beyond managing a calendar and completing assigned tasks. The Executive Assistant will help organize priorities, prepare for meetings, track important commitments, and make sure tasks continue moving forward.
The adecuado candidate has strong common sense, pays close attention to details, and takes initiative without needing constant reminders. You should be comfortable working in a fast moving environment where priorities may change throughout the day. You must be able to stay organized, communicate clearly, and remain calm while managing several responsibilities.
Key Responsibilities
- Manage the executive’s calendar, meetings, appointments, and reminders
- Review upcoming schedules to identify conflicts, missing details, and preparation needs
- Confirm meeting times, participants, links, agendas, and supporting materials
- Prepare relevant notes, documents, and background information before meetings
- Track meeting decisions, commitments, deadlines, and action items
- Follow up with the appropriate people to make sure next steps are completed
- Organize the executive’s daily and weekly priorities based on urgency and business needs
- Monitor outstanding requests and provide timely reminders for important matters
- Review incoming emails, identify urgent messages, and draft professional responses
- Communicate and follow up with clients, partners, vendors, and other contacts
- Assist with contracts, forms, files, and other administrative requirements
- Support wrestling activities, events, and other business projects
- Maintain project schedules, contact lists, meeting notes, and supporting information
- Conduct basic research and provide clear summaries of relevant findings
- Anticipate needs, identify potential problems, and take reasonable action to resolve them
Qualifications
- At least three years of experience as an Executive Assistant, Personal Assistant, or in a similar support role
- Strong common sense and sound judgment when handling day to day situations
- Highly proactive and able to work without constant supervision
- Excellent organization, prioritization, and time management skills
- Strong attention to detail and consistent follow through
- Ability to anticipate needs and take initiative
- Clear and professional written and verbal communication skills
- Comfortable managing changing priorities and multiple responsibilities
- Professional and confident when communicating with different people
- Able to handle confidential and sensitive information responsibly
- Comfortable asking questions and seeking clarification when needed
- Reliable, responsive, accountable, and committed to completing tasks properly
