Step Labs is a CRO, design, and development agency for DTC brands on Shopify. We work with health, supplement, and premium consumer brands in the US, UK, and Europe, and we're a team of ~40 designers, developers, and account managers across Latin America, organised into small client pods.
Money and contracts
- Issue client invoices on schedule and reconcile payments against our bank and Stripe
- Chase overdue invoices with a clear escalation ladder; keep AR aging current and visible
- Send MSAs and SOWs for signature, track renewal dates, and flag engagements 60 days before they roll off
- Collect contractor invoices and prepare the monthly payment batch for approval
- Capture receipts and expenses for the accountants (US, UK, Paraguay entities)
- Own the compliance calendar: filings, renewals, insurance, domains, SaaS subscriptions

People
- Run onboarding and offboarding checklists: contracts, tool access, equipment, handovers
- Manage the recruiting pipeline: post roles, screen inbound, schedule interviews,

- Track days off and keep Timetastic accurate
- Own team moments: birthdays, anniversaries, gifts, and retreat/event logistics

Clients
- Handle new-client setup: collect brand assets, credentials, and kick-off paperwork so pods start on day one
- Keep the CRM honest: log calls, update stages, maintain an accurate pipeline number
- Collect testimonials and case study sign-offs at the right moments
- Write an SOP (doc + Loom) for every recurring task by the end of your first 30 days

You
- 3+ years as an EA, operations assistant, or office/finance admin, ideally in an agency, startup, or professional services firm
- Fully professional written and spoken English (you'll email US and UK clients) and Spanish (you'll work with the team)
- Comfortable with numbers: invoicing, reconciliation, reading a simple P&L;
- Organised to the point of being slightly obsessive; you notice when somet
