We are looking for a highly organized, detail-oriented, and proactive Fleet Maintenance Coordinator to support our U.S.-based transportation operations. This position will coordinate fleet maintenance activities, monitor repairs and inspections, and work closely with drivers, maintenance vendors, repair shops, and internal operations teams to ensure our equipment remains safe, compliant, and operational.

Responsibilities

- Coordinate and follow up on preventive and corrective maintenance activities for trucks and trailers.
- Monitor scheduled maintenance, inspections, repairs, and service requirements to ensure they are completed on time.
- Coordinate with repair shops, maintenance vendors, and service providers to schedule repairs and obtain updates on equipment status.
- Communicate with drivers and internal operations teams regarding maintenance needs, repair status, and equipment availability.
- Monitor maintenance requests and ensure issues are properly documented and followed through to completion.
- Maintain accurate and up-to-date maintenance records, repair history, inspection documentation, and service information.
- Review repair updates and identify outstanding items that require additional follow-up.
- Help prioritize maintenance needs based on safety, compliance, equipment availability, and operational impact.




- Track equipment downtime and communicate potential operational impacts to the appropriate teams.
- Assist with identifying recurring maintenance issues and escalating concerns when necessary.
- Ensure maintenance-related information is accurately updated in the appropriate systems and tracking tools.
- Support the Fleet and Operations teams with maintenance-related administrative and coordination tasks.
- Maintain effective communication with U.S.-based teams and vendors to ensure timely resolution of maintenance needs.
- Perform other duties related to fleet maintenance coordination and operational support as required.

Required Qualifications

- Advanced English proficiency, both written and verbal.
- Strong organizational and follow-up skills, with the ability to manage multiple requests and priorities simultaneously.
- Strong problem-solving and prioritization skills.
- High level of attention to detail and accuracy.
- Ability to work effectively in a fast-paced environment with changing priorities.
- Proficiency with Microsoft Office and Excel.
- Strong communication and interpersonal skills.
- Ability to work independently while maintaining effective communication with remote and U.S.-based teams.

Preferred Qualifications

- Knowledge of fleet maintenance and repair processes, preferably involving trucks and trailers.
- Experience coordinating with repair shops, maintenance vendors, or service providers.
- Previous experience supporting U.S.-based transportation, trucking, logistics, or fleet operations.
- Experience coordinating multiple repair facilities or maintenance vendors simultaneously.
