Senior Executive Assistant — HVAC / Construction / Roofing / Landscaping

Location: Latin America (Colombia preferred)
Type: Full-Time, Remote
Salary: $1,000 – $4,000 USD / month (based on experience & scope)
Reports To: Founder / Managing Partner / Principal

About the Role

We are building a private talent network of elite Executive Assistants who support founders, operators, and managing partners in HVAC, construction, roofing, and landscaping companies across the U.S.

These are not entry-level VA roles.

We work exclusively with senior-level Executive Assistants who have already supported:

- Field-service founders and operators

- Managing partners overseeing crews, projects, or multi-job operations

You will act as a true right-hand partner — protecting executive time, managing operational flow, and serving as a trusted proxy when needed.

Many of our placements grow into Operations Manager or Chief of Staff roles.

What You'll Be Doing

Depending on the client and level, responsibilities may include:

Executive Support & Gatekeeping

- Full ownership of inbox and calendar

- Priority filtering and decision routing

- Handling communication on behalf of the executive

- Managing confidential and sensitive information

Field-Service Operations Support

- Coordinating crews, dispatch, and vendors/contractors

- Tracking jobs, estimates, and service appointments

- Organizing maintenance workflows, materials procurement, and follow-ups

- Supporting project scheduling, client communications, and site coordination





- Managing stakeholder or client communications (when applicable)

Administrative & Financial Coordination

- Light bookkeeping coordination (QuickBooks, Jobber billing, etc.)

- Invoice tracking and payment follow-ups

- Document management (contracts, estimates, warranties)

- Preparing summaries and reports for leadership

Execution & Systems

- Turning messy requests into completed deliverables

- Tracking action items, owners, and deadlines

- Improving workflows and creating SOPs

- Proactively identifying bottlenecks before they become problems

Who We're Looking For

Required

- Minimum 5+ years supporting founders, executives, or operators

- Direct experience in HVAC, construction, roofing, landscaping, or field services

- Fluent English with a near-native accent

- Exceptional written communication

- Strong discretion and judgment

- Comfortable saying “no” and protecting executive time

Preferred

- Experience supporting multiple stakeholders

- Familiarity with field-service or job management software

- Experience working with U.S.-based founders or contractors

- Exposure to scaling businesses or multi-entity structures
