We’re looking for a highly organized, proactive, and detail‑oriented Executive Assistant who can act as a true right hand — someone who thrives on tracking, follow-through, and keeping everything moving.

As an Executive Assistant – Property Management, you will function as the executive’s second brain — ensuring that no task, deadline, or follow-up falls through the cracks. This is a highly execution-focused role where your ability to track details, prioritize effectively, and follow up relentlessly will directly impact the success of day‑to‑day operations.
You will be expected to stay closely aligned with leadership throughout the day — including meetings and property walkthroughs — capturing key actions and ensuring every commitment is followed through. You will:
- Attend all meetings alongside the executive, acting as a real‑time note‑taker and capturing clear action items, deadlines, and responsibilities.
- Support during property walkthroughs, documenting observations, tasks, and required follow‑ups in real time.
- Take full ownership of tracking and managing hundreds of small but critical tasks, ensuring nothing is missed or delayed.
- Proactively follow up with internal teams and external stakeholders to ensure all action items are completed on time.
- Act as a “chaser” on behalf of the executive, holding others accountable and ensuring deadlines are met.
- Maintain a clear and organized system to track priorities, deadlines, and outstanding items.
- Regularly remind and align the executive on priorities, deadlines, and next steps.
- Support email and calendar management, ensuring efficient scheduling and communication flow.
- Assist with administrative and operational tasks as assigned.
- Bring structure, urgency, and clarity to a fast‑moving, detail‑heavy environment.
What You’ll Need
- 2+ years of experience as an Executive Assistant, Operations Coordinator, or similar role.
- Proven ability to act as a highly organized task manager, handling multiple priorities simultaneously.
- Strong experience with follow‑ups, deadline tracking, and accountability across multiple stakeholders.
- Ability to understand urgency and prioritize effectively in a fast‑paced environment.
- Excellent note‑taking skills — able to translate conversations into clear, actionable tasks.
- Strong written and verbal communication skills in English.
- High attention to detail and strong sense of ownership.
- Comfortable working in real‑time with leadership (meetings, walkthroughs, ongoing coordination).
- Experience with calendar and email management.
- Proactive mindset — you don’t wait to be told, you anticipate and act.
- Reliable internet, professional workspace, and full‑time availability.
