The Virtual Concierge is responsible for serving patients by greeting and helping them, scheduling appointments, maintaining records and accounts, answering all inbound calls and outside referrals. Job Description Welcome and assist patients and visitors in person or via phone; answer inquiries or direct them appropriately. Schedule and manage patient appointments to maximize provider time and room utilization; notify providers of arrivals and any delays. Maintain patient satisfaction by addressing concerns, providing information, and ensuring a professional reception/call center environment. Manage patient records, including filing, retrieving, and updating personal, medical, and financial information while ensuring HIPAA compliance. Process billing activities, including recording charges, collecting payments, managing credit, and filing insurance claims. Follow clinic policies and procedures, reporting any needed changes to maintain efficient operations. Handle E-Fax correspondence and file received documents (e.g., post-ops, H&P;, EKG) in appropriate binders.



Coordinate pre-appointment chart notes and obtain documents from referring doctors. Manage outbound referrals by documenting in systems, updating logs, following up with referring providers, and ensuring patient follow-ups. Work with the Clinical Director to prepare and send referral letters within 24 hours of patient visits. Oversee medical records management, including storage, purging, release processing, and maintaining accurate logs. Receive and process patient payments over the phone, posting them to accounts. Required Qualifications Clear and coherent both written and verbal communication skills in English, with the ability to engage with individuals across all organizational tiers, including executive leadership.
